Understanding Secure Email

Secure email provides an added level of security by providing an encrypted connection between your client PC/Mac when connected with your mail servers. This encryption applies for the uploading/downloading of data between your PC/Mac and the mail server and when you view your email via the Webmail login.

It's important to understand that email messages you send to addresses outside your domain are not encrypted once they leave your mail servers. Even with encrypted email confidential and/or any information that could be used for identity theft should never be sent by email. It would be comparable to sending confidential information through the U.S. Mail on the back of a picture postcard which any handler along the way could easily read.

If you require a means for sending/receiving fully encrypted messages with clients or other users outside your domain please contact us with your requirements.

How do I access my email?

We recommend you access and manage your email using a POP client like MS Outlook, Entourage or Apple Mail.  If you don't have a POP client Mozilla Thunderbird can be downloaded here for no charge.

We recommend utilizing a POP client for the long term-management and storage of your email since this allows for your email and email folders to be downloaded and stored on your local system rather than the Web server. This allows your email service to be more portable if you ever decide to change email service providers in the future and protects your email from being lost by another member of your organization inadvertently deleting your email account from your control panel.

As with any critical data, your POP client email should be secured through a multi-tiered backup / disaster recovery plan which includes remote data archiving.

If you're email does not work after setting up your POP email account there is a 99% chance that the reason is a setting has been entered incorrectly so please double check all your entries.

These screen shots are from Outlook 2007. If you're using different email software your interface may be different but the same settings will be applicable.

3. After you've entered your settings press ok and send a test email from your new account. If it does not work, please double-check your settings. If you have questions or need help don't hesitate to contact us.
